Petrol Pump Cash Reconciliation Software — Find the Real Cash Variance
Calculate expected cash from actual payment flows — UPI, card, credit, fuel card, recoveries, expenses and deposits — and see the remaining difference against the cash you count.
Why petrol pump cash often looks short
A common question from pump owners: the meters show ₹3,18,000 in sales but the drawer holds ₹1,65,000 — where did the rest go? Usually the sales total includes UPI, card, credit and fuel card collections, none of which is physically in the drawer. Comparing total sales with cash in hand makes even a correct day look short. The useful comparison is expected cash against counted cash.
How PetroPulse360 cash reconciliation works
PetroPulse360 takes the period's opening balance and sales, removes collections that never reach the drawer, adds cash that comes in from other sources, and subtracts cash paid out. The result is the expected cash. You enter the cash actually in hand, and the difference is shown as the variance to investigate.
Opening balance + total sales
− UPI / online payments and − card / POS payments (go to the bank)
− credit sales (fuel given on credit, not yet collected)
− fuel card payments
+ cash recovered from credit customers
+ staff advance cash recoveries (when enabled for the pump)
+ mobil / lubricant sales
− cash paid at fuel delivery, − expenses, − personal withdrawals, − bank deposits
Tracking each payment method separately
Shift entry records each nozzle's collection by payment type, so every amount lands in the right place in the reconciliation instead of being mixed into one total.
Cash
UPI / online — one box per configured method such as PayTM, Google Pay or PhonePe
Card / POS — one box per configured terminal
Credit — assigned to the creditor
Fuel card, where enabled for the pump
CNG Power / Smart Card on CNG nozzles, where CNG is enabled
Your daily cash reconciliation process
Reconcile every day so a difference can be traced while the shift is still fresh.
Step 1 — Complete the day's shift entries with cash, UPI, card and credit amounts
Step 2 — Record expenses, credit recoveries and bank deposits for the day
Step 3 — Open Cash Reconciliation; expected cash is calculated from these entries
Step 4 — Count the physical cash and enter it
Step 5 — Review the difference: zero means balanced, a positive figure is a surplus to recount, a negative figure is a shortfall to trace by shift or nozzle
Cash reconciliation mistakes to avoid
Most false differences come from how the comparison is made rather than missing money.
Comparing total sales to cash in hand — UPI, card and credit are not in the drawer
Forgetting credit recoveries — a customer paying ₹10,000 in cash raises the drawer and shows as a surplus if not recorded
Mixing owner withdrawals into business expenses — PetroPulse360 records them separately; they reduce expected cash without affecting net profit
Reconciling weekly instead of daily — a week of mixed shifts is much harder to trace
Check reconciliation from anywhere
If you manage your pump from another city or from abroad, you can open the reconciliation on your phone. Expected cash updates as entries are saved, so you can see the cash position without waiting for the manager's call.
Key features
Expected cash calculation — Expected drawer cash worked out from the period's actual payment flows.
Payment methods separated — Cash, UPI, card, credit and fuel card kept apart in shift entry.
Multiple UPI apps and POS terminals — Configure PayTM, Google Pay, PhonePe and several card machines per pump.
Credit and recoveries — Credit sales excluded from the drawer; cash recoveries added back.
Staff advance recovery — Cash returned against staff advances can feed expected cash (per-pump setting).
Deposits and withdrawals — Bank deposits, delivery cash and personal withdrawals reduce expected cash.
Why does my pump's cash look short even when nothing is missing?
Many manual checks compare total sales against cash in hand. Total sales includes UPI, card, credit and fuel card collections, none of which is in the drawer. PetroPulse360 subtracts these so expected cash reflects only what should physically be there.
Does PetroPulse360 track PayTM and Google Pay separately?
Yes. Each pump can set up individual UPI methods such as PayTM, Google Pay and PhonePe, and several card terminals. Shift entry shows a box for each one. Their totals are excluded from the cash drawer calculation.
How do credit sales affect reconciliation?
Credit sales are fuel given on credit and not yet collected. PetroPulse360 subtracts them from expected cash so they do not create a false shortfall. When the customer later pays in cash, that recovery is recorded and added to expected cash.
Does PetroPulse360 remove cash differences completely?
No. It calculates what the drawer should hold from the recorded payment flows and shows the remaining difference. That figure still needs to be checked — it may come from an entry error, an unrecorded payment or a real shortfall.
Does reconciliation work for multi-shift pumps?
Yes. PetroPulse360 supports one, two or three shifts per day. Shift entries for the day all feed the same reconciliation, and each shift's collections can still be reviewed separately.
